Business Continuity Plans - the essentials

essential parts of a business continuity plan

A Business Continuity Plan (BCP) is a is focussed on ensuring an organisation can continue its operations during and after a disruptive event. The essential content that should be included in a business continuity plan include:

1. Risk Assessment and Business Impact Analysis (BIA)

  • Risk Assessment: Identifies potential risks and threats that could disrupt business operations, such as natural disasters, cyber-attacks, or pandemics.

  • Business Impact Analysis: Assesses the potential impact of these risks on the business, including financial, operational, and reputational consequences. It helps prioritise critical business functions.

  • Potential Impairment scenarios: Loss or significant degradation of imprortant parts of the organisations infrastructure such as IT systems, workplace or equipment

2. Business Continuity Strategies

  • Prevention and Mitigation: Strategies to prevent disruptions, such as data backups, cybersecurity measures, or physical security improvements.

  • Response and Recovery: Plans for responding to and recovering from disruptions, including emergency response procedures, recovery time objectives (RTOs), and recovery point objectives (RPOs).

3. Business Continuity Plan Development

  • Plan Documentation: A detailed written plan outlining the procedures and steps to be taken during and after a disruption. This includes:

    • Emergency Response Plan: Immediate actions to protect life and property.

    • Communication Plan: Protocols for internal and external communication during a crisis.

    • Recovery Plan: Steps to restore critical business functions and return to normal operations.

    • IT Disaster Recovery Plan: Specific strategies to recover IT infrastructure, data, and applications

4. Roles and Responsibilities

  • Crisis Management Team: Identification of key personnel responsible for executing the BCP, including their roles and responsibilities.

  • Succession Planning: Designation of backup personnel in case primary team members are unavailable..

5. Communication Plan

  • Internal Communication: Procedures for informing employees about the situation, instructions, and updates.

  • External Communication: Strategies for communicating with customers, suppliers, stakeholders, and the media during a disruption.

6. Supply Chain Management

  • Supplier Continuity Plans: Ensuring that key suppliers and partners have their own BCPs in place.

  • Alternative Suppliers: Identifying backup suppliers or alternative sources to ensure continuity of supply.

7. IT Systems & Data Recovery

  • Data Backup: Regular and secure backups of critical data to ensure that it can be restored quickly in case of a loss.

  • Data Recovery: Processes to recover data from backups and restore systems to operational status.

These components ensure that an organisation is prepared to handle disruptions effectively. A well designed business continuity plan template can ensure that the scope of a business continuity plan covers the above aspects.
